Invoicing & Reporting

Invoicing and Reporting

Swift invoicing to improve cash flow with the reporting to know how much profit has been made

To facilitate quotations, BOSS uses an integrated approach bridging suppliers, customers and clients.

Schedule of rates (SOR) can be created in BOSS to make quotation building quick easy and accurate. Once complete, Clients are notified that quotes await their approval. BOSS enables clients to approve, query or decline quotations whilst keeping full audit trails of dialogue and quotation sign-off.

Post approval, BOSS uses quotation information to create  parts lists for suppliers and enables contractors to raise relevant jobs for engineers to carry out installations and remedial works. Once jobs are complete, BOSS uses it’s internal client tables to mark up parts, consumables, labour and SORs and raise invoice reports.

Where required, BOSS interfaces with accounts systems including SAGE, Pegasus and others.

BOSS’ workflow involves automated links to parts suppliers to populate it’s part lists; the management of engineer van stock, the placement of orders with suppliers, delivery receipting and part allocations to jobs.

Orders may be placed by engineers from their mobile devices and where order values exceed a threshold, orders are routed to managers for approval.

Suppliers are invited to add delivery dates for ordered parts in BOSS allowing Customer Services to keep customers updated with the latest information and  to ensure that service outages are made as short as possible.

Because BOSS track parts, labour, consumables and SOR consumed, BOSS’ job costing reports are accurate, concise and timely. By applying Client centric markups, job profits are calculated with breakdowns by:

  • Client
  • Field worker
  • Division
  • service type
  • service recipient
  • number of other factors.

BOSS invoicing links to a number of third party accounting systems including Sage, Obulus and Pegasus. By interfacing to these systems, BOSS helps to reduce human error, time and cost.
